Is the next step in your career at  SMBC Group EMEA? We’re looking for a Transformation & Change Support Associate to join our Portfolio Planning team within Transformation & Change Management Group (TCMG)

 

The role supports TCMG by managing headcount and recruitment activities, ensuring consistency and visibility across hiring processes. It also provides administrative and project support to enhance the operating effectiveness of the team and contribute to portfolio delivery

 

As a key member of the team, you will:

  • Lead the consolidated headcount and recruitment activities across TCMG, driving consistency in approach and provide holistic visibility on hiring pipeline to TCMG leadership team
  • Provide support with administrative activities for the TCMG team including co-ordination of team meetings, agenda, diary management etc. 
  • Provide portfolio / project support contributing towards successful project delivery as required e.g. materials preparation, meeting minutes, action tracking etc.

 

You will bring with you: 

  • Previous experience in Business Management, Business Support, Planning, Governance or COO (2+ years)
  • Strong analytical skillset – able to derive management insight from complex data
  • Strong experience of working with MS Excel, Word and PowerPoint
  • Strong organisational skills including ability to set and communicate operating cadence/timelines and efficiently multitask 
  • Excellent communication and stakeholder management skills
  • A proactive mindset with a passion for continuous improvement

Business Area

  • TCMG provides the SMBC EMEA enterprise professional project, programme and portfolio management resource and expertise to the organisation.
  • Successful design and delivery of the Change Portfolio is a business-critical activity and key to delivering the strategic objectives of SMBC EMEA.
  • The scale of the Change Portfolio will vary over time, however it is expected to require a budget of greater than USD 150 million per annum
  • The Transformation & Change Management Group consists of c.70 FTE, of which 4 FTE Portfolio Planning
  • Portfolio Planning provide holistic oversight and visibility across the EMEA change portfolio to enable informed decision making, prioritisation, and optimisation of key initiatives, ensuring effective budget / resource allocation and risk management

Position Description

Headcount Management / Recruitment Support

  • Liaise with TCMG / Planning / HR to ensure alignment on approved roles and budgeted headcount
  • Assist in preparing materials for headcount reviews and governance forums
  • Coordinate recruitment activities including scheduling interviews, tracking candidate progress, and updating management info
  • Partner with Talent Acquisition and Hiring Managers to ensure timely and accurate processing of requisitions
  • Monitor and report on TCMG recruitment pipeline
  • Support onboarding logistics and documentation for new hires
  • Maintain and update headcount trackers and organizational charts

 

Portfolio / Project Support

  • Provide general administrative support to the TCMG team, including coordinate meetings, prepare agendas, and document minutes and action items
  • Assist with ad hoc portfolio / projects related activities as required including
  • Assist in the development and maintenance of project plans, schedules, and documentation
  • Track project progress and performance using tools like Excel and Acuity
  • Support data collection, analysis, and reporting to inform decision-making
