Role Summary

To assist the Compliance Control Room in the performance of Control Room activities effectively and efficiently.

The Control Room activities include:

  • Managing Personal Conflicts of Interest, including Personal Account Dealing and Outside Business Activity
  • Managing Transactional Conflict of Interest, including Conflicts of Interest and Information Barriers
  • Manage the Watch List and Restricted List
  • Provide policy guidance and support
  • Contribute to inbox management/ daily workflow

Business Area

The regulator requires regulated firms to have an appropriate compliance function, with an appropriate number of competent staff who are sufficiently independent to perform their duties objectively.

Under the supervision of senior management, the Compliance Department performs the compliance oversight function. The Compliance Department also liaises with compliance teams throughout the SMFG Group (Bank, Nikko and Capital Markets) to ensure that they are compliant for UK matters, as well as tasks under SLAs with other offices

. The Compliance Department achieves this by:

• assisting the relevant firm in setting its risk appetite relating to compliance risks;

• providing reasonable assurance that the firm’s risk preferences and tolerances relating to compliance are observed and maintained; and

• providing advice to the Bank/Capital Markets on matters relating to compliance risks.

The Control Room’s role has a second line of defence role.

The role of the Control Room is to provide policy guidance and conflict management via support systems.

The role requires regular communication with Front Office departments and other control functions across the EMEA region.

Position Description

•    Address requests received by the Control Room and participate in day-to-day operations of Control Room activities including using the Global Control Room System ensuring appropriate, consistent and timely responses to enquiries.
•    Contribute to updates on procedures and resources to support the Control Room activities.
•    Participate in the review of conflict of interest, to ensure conflicts are appropriately managed by the firm.
•    Manage Information Barriers including the management of Inside Information.
•    Manage the Watch List and Restricted List.
•    Contribute and participate in monthly second line of defence control testing.
•    Review and approve personal account dealing requests to mitigate the risk of insider dealing.
•    Prepare Control Room MI for regular reports (including Key Risk Indicators, Key Performance Indicators) to be presented to various internal committees.
•    Support the tracking of new regulatory implementation implementing regulatory change through enhancements to policies and procedures
•    Prepare documentation for dissemination throughout the Group (e.g. newsletter, pipeline reports, etc) to mitigate the risk of the sharing of inside information.
•    Provide support to the Advisory teams on ad hoc projects.
 
Other responsibilities:
•    To keep up to date with legal and regulatory compliance developments by attending seminars and disseminating information to colleagues.
•    To engage with stakeholders by attending EMEA and Global Control Room team meetings.
•    To identify potential improvements in compliance systems, reports and processes.
•    To introduce more effective MI analysis, production and presentation.
•    Perform any other Compliance related duties as required from time to time and liaise with other EMEA, Americas and Asian/Japanese offices.
•    Perform any other Compliance related duties as required from time to time, as directed by the relevant Compliance Control Room Manager.
