Role Summary
We are seeking a motivated and detail-oriented individual to join the Financial Markets Department (FMD) Planning Group. This is a unique and attractive opportunity to work at the heart of Treasury department, business planning, and business control within a global financial institution.
The successful candidate will play a key role in ensuring the smooth running of FMD by providing administrative, operational, and control support across the department. The role centres on customer onboarding (including KYC coordination), expense management, business trip and meeting arrangements, and department-wide operational support, while also contributing to wider business planning, risk management, and governance activities led by senior managers.
Required Skills:
• Business-level English (verbal and written) – required for daily communication and documentation.
• Proficiency in basic MS Office tools (Outlook, Excel, Word, PowerPoint).
• Strong organisational skills, attention to detail, and ability to manage multiple tasks and deadlines.
• Ability to work collaboratively with diverse teams and stakeholders.
• High integrity and sense of responsibility when dealing with documentation.
Preferred Skills:
• Business-level Japanese, due to frequent interaction with internal stakeholders who may prefer Japanese communication (not mandatory, but desirable).
• Familiarity with KYC, invoicing workflows, risk controls, or governance processes is an advantage.
• Experience or exposure to corporate administrative work (invoicing, travel coordination, documentation handling, or similar).
• Comfort working with operational workflows and structured processes.
• Interest in Treasury, Markets, Operations, or Business Management.
• Understanding of basic financial products (Money Market, FX, Fixed Income) is helpful.
Business Area
FMD manages the Bank’s monetary liquidity, oversees Asset Liability Management (ALM) including bond portfolio management, and executes customer FX and deposit transactions.
Position Description
1. Customer Onboarding & KYC Support
• Assist with customer onboarding processes, including gathering required documents, and coordinating with relevant departments.
• Maintain onboarding status records and communicate progress internally.
• Ensure adherence to internal policies and regulatory requirements throughout the onboarding lifecycle.
2. Departmental Business Management Support
• Support preparation of internal reports, management materials, meeting documents, and planning-related updates.
• Assist across Planning, Banking, Customer Sales, and Trading teams on various operational and administrative tasks.
• Help maintain process documentation, departmental inventories, and internal control checklists.
3. Core Administrative & Operational Support
• Process invoices, vendor payments, and expense-related documentation for the department.
• Coordinate business trip and meeting arrangements for FMD staff, including approvals, booking support, and compliance with travel policies.
• Act as an administrative hub for the department, supporting scheduling, documentation management, recordkeeping, and general coordination.
4. Risk, Governance & Compliance Support
• Provide administrative support for 1st Line of Defence activities, including self-inspections, audit preparation, issue tracking, and documentation updates.
• Assist in coordinating communications with Compliance, Risk Management, Legal, and other control functions.
• Ensure FMD’s operations follow relevant internal policies, procedures, and governance standards.
5. Cross-Functional Coordination
• Work closely with our treasury colleagues in EMEA locations.
• Communicate with various stakeholders including dealers, back-office teams, support functions, and expats who primarily communicate in Japanese (business-level Japanese is preferred).
• Support broader initiatives and operational improvements as needed.
